Position Overview:
As the Administrative Assistant to the President, you will be a trusted partner in managing daily operations, client relationships, and administrative functions. This role requires a candidate with a background and understanding in wealth management, strong organizational and communication skills, and the ability to handle sensitive information with the highest level of confidentiality and professionalism.
Key Responsibilities:
- Serve as the primary point of contact for the President, managing schedules, meetings, and correspondence.
- Handle client communications and inquiries, ensuring a high standard of service.
- Coordinate and prepare materials for client meetings, including financial reports, presentations, and briefing documents.
- Manage travel arrangements, including scheduling and logistics for domestic and international travel.
- Manage client account information and update records in the CRM system.
- Assist in the preparation of financial reports, presentations, and investment summaries.
- Coordinate with custodians, brokers, and other financial institutions on behalf of clients.
- Monitor and manage deadlines for account activities, including transfers, contributions, and withdrawals.
- Handle confidential client information with the utmost discretion and compliance with privacy regulations.
- Oversee key projects and initiatives on behalf of the President, tracking progress and deadlines.
- Maintain and organize confidential client and company records, ensuring compliance with regulatory standards.
- Assist with drafting, editing, and proofreading correspondence, presentations, and other documents.
- Collaborate with other team members to ensure seamless office operations and client support.
Qualifications:
- Minimum of 2-3 years of administrative experience, with at least 1 year in wealth management or financial services.
- Bachelor’s degree
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and CRM systems.
- Exceptional organizational and time-management skills.
- Strong verbal and written communication abilities.
- Professional demeanor with excellent interpersonal skills.
- Ability to prioritize and multitask effectively in a high-pressure environment.
- Familiarity with wealth management processes, financial terms, and compliance standards.
